These Terms of Service ("Terms") constitute a legally binding agreement between you and Packetpipe Ltd (Company Number: 12105604), trading as ClientRecordCards.com ("Company", "we", "us", or "our").

By accessing or using our website at clientrecordcards.com and any related services (collectively, the "Services"), you agree to be bound by these Terms. If you do not agree to these Terms, you must not use the Services.

2. Description of Services

ClientRecordCards.com provides a cloud-based client record management system designed primarily for beauty professionals. The Services include:

• Client record storage and management
• Treatment and consultation records
• Patch test tracking and reminders
• Digital consent forms and signatures
• Client communication tools (email, SMS, WhatsApp)
• Remote client onboarding

3. Eligibility

You must be at least 18 years old and have the legal capacity to enter into a binding contract to use our Services. By using the Services, you represent and warrant that you meet these requirements.

4. Account Registration

To use certain features of the Services, you must register for an account. You agree to:

• Provide accurate, current, and complete information
• Maintain and update your information to keep it accurate
• Maintain the security of your account credentials
• Accept responsibility for all activities under your account
• Notify us immediately of any unauthorised access

We reserve the right to suspend or terminate accounts that violate these Terms.

5. Subscription and Payment

5.1 Subscription Plans

Subscriptions are billed monthly in advance. By subscribing, you authorise us to charge your payment method on a recurring basis until you cancel.

5.3 Message Credits

SMS and WhatsApp messages are charged separately using a credit system. Credits must be purchased in advance and are non-refundable. Unused credits do not expire while your account remains active.

5.4 Cancellation

You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing period. No refunds are provided for partial months.

5.5 Price Changes

We reserve the right to change our prices with 30 days' notice. Continued use of the Services after a price change constitutes acceptance of the new prices.

6. Your Responsibilities

As a user of our Services, you are responsible for:

• Ensuring you have lawful grounds to collect and process client data
• Obtaining appropriate consent from your clients
• Providing privacy notices to your clients
• Responding to data subject access requests from your clients
• Maintaining the accuracy of data you input
• Complying with all applicable laws, including data protection laws
• Using the Services only for lawful business purposes
• Not sharing your account credentials with third parties

7. Data Protection

7.1 Data Controller and Processor

For client data you input into the Services, you act as the data controller and we act as the data processor. We process this data only on your instructions and in accordance with our Privacy Policy.

7.2 Data Processing Agreement

By using our Services, you agree to our data processing terms. We will:

• Process personal data only on your documented instructions
• Ensure persons processing data are bound by confidentiality
• Implement appropriate security measures
• Assist you in responding to data subject requests
• Delete or return data upon termination

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, PACKETPIPE LTD SHALL NOT BE LIABLE FOR:

• Any indirect, incidental, special, consequential, or punitive damages

• Any damages exceeding the amount paid by you in the 12 months preceding the claim

14. Account Termination
